ScriptCheck single patient flow – option 1

This functionality is only available to customers using the Electronic Prescription Service (EPS) in England and Wales and requires ProScript Connect v1.30.7.

The script must already have already been downloaded from the Spine, processed, token printed and be in the ScriptCheck Manager queue, (marked as ScriptCheck), plus have a retained clinical check or has been clinically checked by a pharmacist before this workflow can start.


Workflow option 1

Start with this workflow, as its most like traditional dispensing. Useful for walk-in Rx / Acutes.

  • pick stock for single patient using the token
  • print all dispensing labels for each prescription up-front using the scanning app
  • affix the correct dispensing label to each pack, then place in basket
  • scan the dispensing label and then scan the pack barcode

  1. Pick stock using the token (stock may also be picked later, see point 8).
  2. Login to the scanning app.

    How to login
    • Click the ScriptCheck app shortcut on your desktop.
    • Login to the scanning app.

      If you enter your username/password incorrectly four times in a row, you’ll be locked out of the app for 5 minutes.

      Tip: Use the Show/hide icon to the right of the password to view your password entry.

      Warning: Both ProScript Connect and the scanning app must be open together to ensure the latest data can be transferred between them.


  3. The option to scan a token is displayed.
  4. Scan the single token.
  5. The scanned token is displayed in the Patients in Progress section.
  6. Click the printer icon.
  7. The patient is now moved into the Assembled Patients section, and all labels are printed.
  8. If you didn’t pick the stock first, now pick the required stock, using the token and labels.
  9. Apply the labels to the drug packs, taking care not to cover the drug pack barcode. Store any supplementary labels with the packs in the basket.

    The drug labels have a QR code on the label that will be used for the accuracy check.

  10. To start the basket check, click Basket Check (F12).
  11. The next step is the basket check. This is to aid pharmacy staff to ensure the correct labels are on the correct drugs, going to the correct patient. Once the basket check has been confirmed, the bag label will print.
  12. On the scanning screen, double-click the basket.
  13. On the script review screen, the token details are displayed.
  14. Now complete the accuracy check:
    1. Scan the QR code on the drug label.
      A message is displayed, asking you to scan the drug pack barcode.
    2. Scan the drug pack barcode.
    3. Complete the above steps for each drug pack in the basket.  When all items have been accuracy checked, the token will be displayed as complete.
  15. Put the items in the pharmacy bag.
  16. On the prescription preview, to confirm the completion of the basket, click F10.
  17. The bag label will print, and this screen closes.
  18. Place the bag label on the assembled bag and seal ready for patient collection.

Split pack

Scenario: With a split pack, verification will be required by a pharmacist or ACT with Accredited User access to confirm that the correct quantity is being dispensed.

  1. At the basket check stage, when you are completing the accuracy check:
    • Scan the QR code on the drug label.
      A message is displayed, asking you to scan the drug pack barcode.
    • Scan the drug pack barcode.
    • A warning message is displayed to confirm a split pack with the drug name and dispensing quantity included.
    • Click Confirm.
  2. Verification is required as it is a split pack.
  3. To continue, click Click to confirm.
  4. The Basket Check screen closes. On the Pending Picklist screen, the picklist now has a status, Verification.

    Tip: To check you have the correct picklist, you can hover over the Patient icon to view the patient’s name or hover over the Picklist Preview icon for the list of medications required for this patient.

    Or alternatively, you can use the Patient Search box to locate a patient’s picklist, if you have several picklists waiting for verification.

  5. Verification is required to be completed by a pharmacist or ACT with Accredited User access. Click the three vertical dots against the picklist, then select Verification or press F2.
  6. The Baskets Awaiting Validation screen is displayed.
  7. Check the quantity and the labelling is correct, click Verify.
  8. A confirmation message is displayed, click Confirm (F10).
  9. The verified basket has now been removed from the Pending Picklist screen and the items can be packed and the bag label is printed.
  10. Place the bag label on the assembled bag and seal ready for patient collection.

Stock unavailable (No More Packs)

Scenario: If you find a drug pack is not currently in stock, you can use the No More Packs option to indicate a pack is owed and allow completion of the other ScriptCheck items. The token and label can be left in the basket then used for labelling once the item is back in stock, according to your local Standard Operating Procedures.

Tip: If the app settingPrint Missing Items Warning Label is enabled, a label advising a pack is missing will be printed to help manage baskets.

  1. You have scanned in the token, printed the labels, picked the stock and now know you don’t have all the items in stock to complete this token.
  2. Click Basket Check (F12) to start the accuracy check for the items you do have.
  3. On the scanning screen, double-click the basket to start the check.
  4. On the script review screen, the token details are displayed.
  5. Complete the accuracy check for the items you have:
    • Scan the QR code on the drug label.
      A message is displayed, asking you to scan the drug pack barcode.
    • Scan the drug pack barcode.
    • Complete the above steps for each drug pack you have in the basket.
  6. Now, to opt the token out of the ScriptCheck Manager queue whilst the stock arrives, click No More Packs.
  7. A confirmation message is displayed.
  8. Click Confirm (F10).
  9. Put the label awaiting stock and the token back in the basket, according to your local Standard Operating Procedures.

    Whether verification is now required at this stage is set by your pharmacy, using the settings in the scanning app. However, if the owed item is a standard verification item, such as a spilt pack, it will still trigger the verification process, irrespective of your setting.

  10. A bag label is printed (if no verification is required).

    The missing item is not saved in the scanning app. Once back in stock, follow your local Standard Operating Procedures.


Verification

If verification is required to complete the basket, notice the details of the pack missing is displayed under the Verification section and is also not ticked in the prescription preview. Verification means that the situation requires a pharmacist or an ACT with Accredited Access to the scanning app to manually check that the items dispensed are the correct packs, going to the correct patient with the correct labels on them.

  1. To continue, click Click to Confirm.
  2. This Basket Check screen now closes.
  3. On the Pending Picklists screen, the picklist is displayed with a status of Verification.
  4. Verification is required to be completed by a pharmacist or ACT with Accredited User access. On the Pending Picklist screen, the picklist now has a status, Verification.

    Tip: To check you have the correct picklist, you can hover over the Patient icon to view the patient’s name or hover over the Picklist Preview icon for the list of medications required for this patient.

    Or alternatively, you can use the Patient Search box to locate a patient’s picklist, if you have several picklists waiting for verification.

Skip Basket Check

Scenario: You may need to pull a scanned token out of the accuracy check scanning process, for example, if there is an issue with the medication. Skip Basket Check is a way to do this, but it will force a verification check. A pharmacist or ACT with Accredited User access will be required to complete the verification.

  1. Click Skip Basket Check.
  2. A warning message is displayed on screen.
  3. Click Confirm (F10) to continue.
  4. The basket is closed.
  5. To be completed by the pharmacist or ACT, on the Pending Picklist screen, select the required picklist that requires verification.
  6. Click the three vertical dots against the picklist, then select Verification or press F2.
  7. The Baskets Awaiting Validation screen is displayed. Once the basket has been manually checked, click Verify.
  8. A warning message is displayed. Please read and confirm the items have been checked by a qualified person. Click Confirm (F10).
  9. The bag label is then printed.

You can use Skip Basket Check, but it will force a verification check. A pharmacist or ACT with Accredited Access will be required to complete the verification.


Clinically checking


How does a pharmacist clinically check items in ScriptCheck Manager

Follow these steps to clinically check items.

  1. On the ScriptCheck Manager screen, in the Queue tab the list of scanned scripts is displayed. Filters can be applied including CC Status (Clinically Checked Status).

    Tip: Use the filters to view only the scripts required to be processed at this time, for example Today.

  2. The Responsible pharmacist logged in will be the default pharmacist for completing the clinical checks. Their name is visible on the top ribbon. To amend, click Change to select the required pharmacist, then click  F10 – Save.
    The checking pharmacist does not have to be the Responsible Pharmacist.

  3. Select the scripts to be clinically checked, then click F2 – Clinical Check.

    Tip: To select all scripts in the current filter, tick the top box beside Date Added.

  4. On the Clinical Check screen, the first selected script is displayed with the PMR History in the left pane, the script(s) in the centre pane and the highlighted script details in the right-hand pane.

    • If the same patient has multiple scripts, they will be displayed together to be reviewed and clinically checked together.
    • In the left pane:
      • any prescribing history is displayed
      • if there are Patient Notes and/or Allergies/Conditions recorded, Yes is displayed against each accordingly – to view these details and the full PMR history, click View PMR
    • In the top-centre pane:
      • an Edit Prescription option if you need to edit the prescription before the clinical check is completed
      • each script for the patient is listed, with any blue hyperlink warnings against the medication – click the blue link to view the warning
      • if there is more than one script, use the arrow icon, to open and close the details
    • In the bottom-centre pane:
      • the currently selected pharmacist is displayed – Click F2 – Select Pharmacist to add or change: a pharmacist must be selected before the clinical check is completed
      • if the script has retained the clinical check, the details will be displayed under Last Clinical Check with the pharmacist’s name, their Registration Number, and the date of the clinical check
    • In the right pane, the Label Details and Script Details are displayed.
  5. Once a script has been clinically checked, select Clinically Checked, or click F4 – Select All CC, if there are multiple scripts for this patient.
  6. Click F10 – Confirm.
  7. On the ScriptCheck Manager screen, those scripts that have been clinically checked are displayed with a tag, along with the pharmacist’s name. If the clinical check has been retained, the date of the retention is displayed.

How does the ScriptCheck clinical check retention logic work?  

ScriptCheck will retain a clinical check, valid for 6 months, for individual patients and prescriptions. However, if any of the parameters change or the 6 months has expired, the next time a prescription containing those items is dispensed, it will not retain the clinical check. This will require a pharmacist to perform a clinical check once more.

At any time, you can access an explanation of how the clinical check retention works by simply clicking the info icon  to the right of the blue bar on the ScriptCheck Manager screen.


I have received a warning message on screen, that the token has not been clinically checked, what do I do?

On the warning message screen, click OK.  The token must be clinically checked by a pharmacist before it can be processed through the scanning app.


App settings


How do I set up a new user for the scanning app?

Only users with Accredited Access to the scanning app can setup and amend scanning app users, including password resets.


The scanning app is not loading a blank picklist every time as default, ready to scan a new single token. How do I change the setting?

The default when opening the scanning app, is to load a blank picklist every time, on the Pending Patients screen. Check you have no outstanding picklists still on the Pending Picklists screen, these will need to be completed before the default blank picklist is displayed.

You will require Accredited Access to the scanning app to amend the settings for your pharmacy. To access the ScriptCheck app settings, double-click the ScriptCheck app icon on your desktop.

  1. On the login details screen, enter your administrator login details and password, then click Login.
  2. Within the app, in the left-hand pane, click Settings.
    The App Settings screen is displayed.
  3. Select the General tab.
  4. Select the setting Only load default menu once. If this setting is ticked, the scanning app will only move to the default page once on login, if no picklists are present.
  5. To disable this option and default to this screen every time, untick the box to the left of the question mark icon .
  6. At the top of the screen, click the save icon .

What does it mean if “verification is required”?

Verification means that the situation requires a pharmacist or an ACT with Accredited Access to the scanning app to manually check that the items dispensed are the correct packs, going to the correct patient with the correct labels on them.  For example, for a split pack, a basket check has been skipped, or items are owed.


I want to change the verification app settings for No More Packs. How do I do this?

Whether verification is required after using the No More Packs option, is set by your pharmacy, using the settings in the scanning app.

You will require Accredited Access to the scanning app to set the verification settings for your pharmacy. To access the ScriptCheck app settings, double-click the ScriptCheck app icon on your desktop.

  1. On the login details screen, enter your administrator login details and password, then click Login.
  2. Within the app, in the left-hand pane, click Settings.
    The App Settings screen is displayed.
  3. Select the Process tab.
  4. The No More Packs settings that apply to verification are detailed in the following table.

    If the item is a standard verification item, such as a spilt pack, this will still trigger the verification process, irrespective of your setting.

Messages on screen


I have received a warning message on screen, that the token has not been clinically checked, what do I do?

On the warning message screen, click OK.  The token must be clinically checked by a pharmacist before it can be processed through the scanning app.


I received a message on screen when scanning a pack to complete the accuracy check – an unknown barcode has been scanned. What do I need to do next?

If an unknown barcode warning message has been displayed for a scanned pack, a pharmacist is required to map this unknown barcode to the Custom Barcodes product list. Once this has been done, rescan the pack to complete the accuracy check. The basket will require Verification by an accredited user.


I have picked and labelled my packs but when I scan to accuracy check, I receive a message on screen that the pack is not required. Why is this happening and what can I do to move on? 

The selected pack needs to match the pack selected during the processing of the EPS script from ProScript Connect, in terms of pack size and drug generic or brand. Check the following:

  • Has the incorrect drug been picked? Re-pick and label the correct drug pack.
  • Has a different pack size been picked? You can check the script preview to see the expected pack size in brackets next to the drug name. Re-pick the expected drug pack size.
  • Has a brand been picked and the dispensed product choice in ProScript Connect is a generic? Pick the expected product.
  • Has a generic version of the drug been picked but the product choice selected in ProScript Connect is a brand? Pick the expected product.

If you wish to dispense a different product choice, then this item will need to be dispensed locally and checked by a pharmacist or ACT or the dispensed product choice edited in ProScript Connect.


As you use the scanning app, you may come across other warning or notification messages. We have collated some messages to help you understand what the message means and any actions you may need to take.


Brand/generic/pack size

When an Accredited User is mapping an unknown barcode in the database, take care not to map a brand to a generic and vice versa. It MUST BE an exact match.


How will I check if the brand was selected when the script was processed in ProScript Connect?

From ProScript Connect, go to the patient’s PMR. Highlight the drug and expand to the detailed view. This will show you the selected pack detail. In our example the brand Lustral was selected and should be picked.


What should I do if the generic has been selected in ProScript Connect but I want to supply the brand?  

You can use Skip Basket Check and follow your local Standard Operating Procedures for manually labelling and checking the pack. Use ProScript Connect to edit the dispensed drug as required.


What should I do if I need to use different pack sizes to those selected in ProScript Connect? 

You can use Skip Basket Check and follow your local Standard Operating Procedures for manually labelling and checking the packs. Use Reprints in ProScript Connect to edit the labels.


Owed Stock


What should I do if I cannot supply all the packs on the token and need to owe a pack? 
  1. Print all labels as normal, then pick and label the packs that you can supply.
  2. Move to the basket check and accuracy check the packs you are going to supply.  Keep the label for the owed pack in the basket with the token.
  3. Click No More Packs, verify the basket if asked to do so.
  4. A bag label will print to complete the packs you are supplying.
  5. Retain the label for the owed pack and store following your local Standard Operating Procedures.
  6. When the stock arrives, apply the label, the accuracy check must be completed by a pharmacist or ACT.

    Print a reminder label: If the scanning app setting, Printing > Print Missing Item Warning Label has been enabled to print at Basket Check, a label advising a pack is missing will be printed. You can then return to ProScript Connect and locally dispense this item to obtain labels (affixing labels to token to dispense later) or you can create an owing. Note, if part supply is being made, then the label for the part supply should be applied to the pack and checked by a pharmacist. Take care that the correct quantity is dispensed as there may be more labels than required if part supply is being made as opposed to supplying part quantity.


Original Pack Dispensing (OPD)


How will I know if OPD has been applied to a drug pack?

You will notice that the quantity prescribed on the token is different from the quantity on your printed drug pack labels. Check your labels before you go ahead and unnecessarily splitting a pack.

For example, the token may show 28 have been prescribed but the printed labels have a quantity of 30. OPD has been applied and the full pack of 30 can labelled and supplied. If in doubt, check ProScript Connect for details.


Scanner or printer issues


My scanner has developed a fault. How can I now complete my token in ScriptCheck?

You can go ahead and label the packs as normal and move to the basket check.

If you are unable to complete the accuracy check by scanning:

a) Use Skip Basket Check to move on. This will force the basket to a manual verification by a pharmacist or ACT.

b) The basket will be added to the Pending Picklist screen with a status of Verification.

c) Once verified, a bag label will print.

I need to reprint a damaged label. How can I get replacement labels?

To reprint damaged labels (note all labels will be reprinted):

There are two ways to reprint labels:

  • Reprint labels from ProScript Connect and dispense locally.
    1. From the Basket Check screen, click Skip Basket Check to remove the token from the scanning app process.
    2. Use Reprints to reprint the required labels and dispense the items locally. Note, as these labels display no QR code, the items must be checked by a pharmacist or ACT before handing them to the patient.
  • Reset the picklist to continue the scanning app workflow. Note that ALL item labels will be printed.
    1. Click Exit Picklist.
    2. The token will now be displayed on the Pending Picklist screen as status Started.
    3. Click the three vertical dots against the required token, then click Reset Picklist.
    4. The token will now be displayed on the Pending Picklist screen as status New.
    5. Double click the required token to restart the scanning app process.
